We are a small, professional general contractor specializing in commercial construction. We’re looking for a Construction Project Coordinator who works closely with our Project Managers and Superintendents to keep projects organized and moving smoothly.

Position Overview

The Construction Project Coordinator supports commercial construction projects by coordinating documentation, tracking project activity, managing subcontractor and compliance items, and assisting with office operations. This role works closely with the Project Manager and Superintendent, helping manage project submittals, paperwork, and day-to-day coordination to ensure projects remain organized, compliant, and on schedule.

This position is ideal for someone with commercial construction experience who is proactive, detail-oriented, and comfortable supporting both the office and the field in a small, professional team environment.


Key Responsibilities

Project Coordination & Tracking

  • Work closely with the Project Manager and Superintendent to support day-to-day project coordination

  • Maintain accurate job tracking logs, including schedules, milestones, and action items

  • Track deliverables and follow up with internal teams and subcontractors to keep projects moving forward

Submittals & Project Paperwork

  • Assist with preparation, review, tracking, and distribution of project submittals

  • Maintain submittal logs and follow up on approvals and revisions

  • Assist with other required project paperwork, including RFIs, change orders, meeting minutes, and closeout documentation

  • Ensure project documentation is complete, current, and properly filed

Subcontractor Management & Compliance

  • Track subcontract agreements, scopes of work, contract values, and change orders

  • Coordinate subcontractor onboarding and ensure required documentation is in place prior to start of work

  • Track subcontractor payments in coordination with the Project Manager and accounting

  • Collect, review, and track conditional and unconditional lien waivers

  • Maintain accurate subcontractor compliance, payment, and lien waiver records

Insurance & Risk Management

  • Track and manage subcontractor insurance certificates and compliance requirements

  • Monitor insurance expiration dates and follow up as needed

Permit Management

  • Coordinate construction permit applications, inspections, approvals, renewals, and closeouts

  • Track permit status and communicate requirements to the Project Manager and Superintendent

  • Coordinate with municipalities and inspectors regarding permit-related matters

Office & Business Operations Support

  • Support general office management and administrative functions

  • Manage company cell phone plans, devices, and user assignments

  • Support 401(k) reporting and administrative coordination

  • Manage company documents, templates, and internal records

  • Track and manage software subscriptions, licenses, and renewals

Communication & Coordination

  • Serve as a communication link between the office, Project Manager, Superintendent, subcontractors, vendors, inspectors, and clients

  • Schedule meetings, inspections, and site visits

  • Support compliance with safety standards, project requirements, and company procedures


Required Qualifications

  • Minimum 1–3 years of commercial construction experience in a project coordinator, project administrator, or similar role

  • Experience assisting with project submittals and construction documentation

  • Experience working closely with Project Managers and Superintendents

  • Hands-on experience with subcontractor management, payments, and lien waivers

  • Working knowledge of commercial construction processes and terminology

  • Proficiency in Microsoft Office; experience with construction management software (Procore, Buildertrend, Bluebeam, etc.) is a plus

  • Strong organizational skills and attention to detail

  • Clear, professional written and verbal communication skills

  • Ability to manage multiple priorities in a fast-paced construction environment

Work Environment

  • Combination of office and active commercial jobsite environments

  • Occasional travel to project sites required
