Position Summary
The Gallery and Programs Associate position is centered around visitor services and community programs. Primarily stationed at the front desk of Astor House, this role serves as the liaison between the Foothills Art Center (FAC) and its guests, actively promoting our mission: "We create stronger community through art." The associate engages with visitors and works behind the scenes to ensure operational efficiency, with collaboration across all FAC staff being vital to success.
Working Environment
The FAC team thrives in a fast-paced environment, handling a wide range of responsibilities from administrative tasks to community engagement. FAC is one organization operating out of two buildings, Creative Campus (education) and Astor House (exhibitions). The associate will be instrumental in supporting programming and events at both locations, and occasionally at offsite locations.
Responsibilities
Visitor Services and Administration
Provide exemplary customer service during interactions with visitors, volunteers, and staff in person, via email, and by phone.
Act as the first point of contact for inquiries about exhibitions, classes, and workshops, promoting participation in education and public programs.
Use CRM software to process transactions and maintain accurate records, which include visitor attendance and demographics to support organizational planning.
Programming and Events Support
Building classes, programs, and events in CRM software.
Maintain communication with adult education instructors and students.
Prepare for and facilitate programs such as Gallery Tours, Artful Journeys, and SPARK!
Provide onsite support for evening and weekend events, including but not limited to exhibition openings, LATE NIGHT, ARTSWEEK, and the Holiday Art Market.
Retail Shop Coordination
Work with staff to coordinate retail items, entering inventory in CRM software, printing price labels, and receiving inventory from artists.
Help maintain and promote the retail shop space, ensuring its cleanliness and organization.
Volunteer Support
Help train new volunteers who sign up for front desk shifts and support with volunteer coordination during the Holiday Art Market.
Support with volunteer events, including the annual Volunteer Soiree and Volunteer Pop Up Show.
Facilities Oversight
Perform opening and closing duties for Astor House, including light cleaning, trash removal, and ensuring a welcoming and safe environment.
Maintain the front desk area by ensuring marketing materials are current, and keeping the space tidy.
Conduct inventory counts and restock supplies as needed, maintaining a seamless operations experience.
Qualifications
Minimum Qualifications
Ability to multitask and proficiency with computers; willingness to learn CRM software.
Moderate physical activity required, including lifting 30+ lbs., and moving throughout the facility.
Strong interpersonal skills with a commitment to working with diverse groups of people.
Preferred Qualifications
Bachelor’s degree in Art Education, Museum Studies, Arts Administration, or related fields.
Previous experience in a visual arts organization and teaching roles.
Required Qualifications
Strong writing, verbal, and public speaking abilities for effective communication.
Detail-oriented, self-motivated, and capable of working both independently and as part of a team.
Passion for visual arts and dedication to Inclusion, Diversity, Equity, and Access (IDEA).
Hours and Pay
This part-time, non-exempt position pays $16/hour. Typical work hours range between 9:30 AM to 5:30 PM during the week, with occasional evening and weekend shifts. Expected hours per week range from 14-25 hours, and occasionally more during heavily programmed periods. Part-time employee schedules vary each semester, depending on operating hours and the availability of other front desk staff. Non-exempt employees are eligible to participate in FAC’s Simple IRA plan, which provides a 3% match on funds contributed by the employee.
